Welcome to the “how to fill an application form” page

-          Please consider every item in this page to prevent any sort of damage or delay to your application form. Please note very well the drawbacks that might take place in case you do not follow the rules or accidentally make mistakes in your application form.

-          It’s advisable to open this Manual in a different window and keep it open till you finish filling your application form. You should read every part before you fill in any field in your application form.

-          This page has been written in a friendly manner to help you out with your application form. You do not need any help from your friends or colleagues. All the questions and information you might ask about will mostly be available in this page. Of course, do not hesitate to refer to the local exchange officer anytime you don’t find answers to your questions or inquiries.

Now, let’s proceed to actual fields copied from the application form page;

At this part, please pay extra attention to the letters of your name. Of course we are all Egyptians and our names are mostly Arabic. Converting our names into other languages could predispose it to sometimes slight changes in letters. For example if one’s name is “Ahmed”, it can be written as Ahmad also. Such conflict would affect the issue of the application form to serious mistakes. Also if one’s name is “Mousa”, it can be types as Mussa, Musa, Moosa and Mosa. Regardless of the other languages forms, for instance Moses... So to prevent the damage of this conflict, please provide your name at the exact form and letters typed in your Passport. And if you don’t have a passport yet, please provide it at the commonest way used and the form you will use when you make your passport.

Please also note it’s more important to write your name at the form and letters in your outgoing exchange exam paper. It’s the most serious point of all. Because if you type your name as “Mousa” and in the paper you write “Mussa”, the search tool will never find your name, and the organization will never be responsible for such mistake. So please pay attention to this point and follow the same form you use in this application whatever it is.

Please also write your name in the outgoing exchange exam paper in very obvious letters that cannot be mistaken. Make it clear as much as you can.

Please note that this is not just regular information you input to the application form. Such information is extremely vital to all the further procedures of the program. By now you should know that 3rd year students can apply for the research form of exchange only. The other form which is the “professional” exchange is only available to those who have already been into the study of clinical subjects. So if you provide false data to get along with the professional form of the exchange and yet you’re still a 3rd year student, your application will be subjected to immediate rejection. Also, it might concern you that 4th, 5th, and 6th year students can apply for both forms if they are interested in the research exchange and studying sub clinical subjects as well.

Date of Birth: Day:  day Month:  month Year:  year

Please provide your date of birth in the form of dd-mm-yyyy.

Address:

Your address form should include your building number, street, district, city and country. Such address might be used for us to send you documents or packages. So, please provide the address in the most obvious and clear form.

Home Tel:

You home telephone number should be provided in the form of “area code” – “the number “. Your telephone number shall be used for urgent matters as when your mobile is not responding. It’s not used as much as your mobile number.

Mobile Phone:

You might be receiving messages or phone calls on your mobile to inform you about any urgent situation. However, please always note that the only official and obligatory form of communication between you and the organization is the E-mail. So we are not obliged to contact you through any other form.

From my point of view, checking your E-mail regularly is not an option at the time of the outgoing exchange exam and results. You might be receiving notifications that require your response in 48 or even 24 hours. Missing such notifications will only affect your clerkship and we’re not responsible for such issue. I recommend you to check your E-mail daily. But, if there was no near internet access, you should try to check it every 2 days; 3 times per week.

If you have more than one E-mail account, please input the one you use the most. So checking such account will be the most frequent.

Please note carefully that the organization is not obliged to contact you through other forms “mobile phone – home telephone” to inform you about such notifications or ask for your response. It’s notable to say that some people missed their clerkships because they did not respond in due time.

Well, you should re-write your E-mail at the same and exact form. This is a confirmatory step to ensure that you have typed your E-mail correctly.

Languages (Spoken and Written): English French German

Please note that marking French or German means that you can study medicine in such languages; so it’s a must that you fluently speak and write in such languages. A certificate for such languages is required.
I hope the note has been clear enough for you. Studying French as a second language in your high school is not enough to apply for French speaking countries. When you mark French for example, it means that you can communicate with people in French perfectly and that you can study in this language. Also the same applies to German. You will have to prove your language skills to us by providing an acknowledged certificate. Also note that you might be subjected to further interviews to prove your skills.

It’s by now clear enough that providing false data will cause immediate rejection to your application form. So please re-consider your choices before you do anything wrong.

Type of Exchange: Research Professional Both

Please note that 3^rd year students can only apply for research exchange.

To get more information about the difference between the research and professional exchange, please refer to the outgoing exchange page.

If you have missed this option by mistake and have chosen professional while you consider both forms of exchange, the organization will never consider the research exchange for your clerkship. Also if you apply “both” you might get any form of exchange, so please choose what suits you the most. Of course it’s mostly advisable to pay a visit to the outgoing exchange page where you can get a detailed idea about the difference between both types.

Please note that:

• Listing your preferred countries is a very serious issue. Choosing countries that you do not fully desire to be the place of your clerkship is a big mistake. You might get such countries, and declining them prevents you from getting any other opportunities this term. You have only one chance for your clerkship.

 

• It is not a must to fill in all the boxes; you can even choose only one country as long as you only prefer one country.

 

• Some countries require French and others require German. Do not choose any of these countries as long as you cannot study in such languages.

On your right, there’s the box that contains the list of available countries. An available country does not mean that this is a country that we have to have a contract for at the mean time, but it means that the IFMSA-Egypt may sign or have signed before contracts with it. About the list of countries that we do have contracts for, please check our quota below. Please pick the countries from the box on the left, highlight each country. And press the button in the middle of the two big boxes, it will immediately send what you have chosen to the box on the right. Please note that you’re not just sending countries to the box, you’re sending them in an order of your desire. According to your score, you’ll be granted your clerkship according to your order of desired countries. So please pay extra attention to this process. Please select all the countries you would like to attend your clerkship in.

• It’s very important to narrate some stories that have taken place in the past. Many students consider such part of the application form the same as if they were applying for faculties and universities when they had finished their high school. Allow me to strictly avoid you from considering this part in such manner. Some of these students applied for countries they did not fully wish for, and they were granted according to their score their clerkships in these countries. They declined their requests and they never had the chance to go for other countries. So please consider every country you choose as a place you can go and study. You can always ask students who previously have been to these countries for more information. You can also refer to the countries feedback database to learn more about these countries.

On the other hand, choosing very few and especially western Europe countries may not be the very best option. Such countries have greater demand than their number, and so they usually require very high scores. So, what I recommend you to do is, choose some western countries and then some eastern countries that you consider as options for the place of your clerkship.

And if I may say, all countries have their own different and unique experience. You will have the chance to meet worldwide cultures anywhere you go. You will meet students from all over the world. So it’s not the very big gap between western and Eastern European countries. Actually eastern countries are not as expensive as the western ones. Of course, it’s always your choice. You don’t have to fill in all the boxes. You just fill in countries that you choose and that you consider very well as options.

• Choosing countries that require extra languages – as French or German, while in fact you do not have the required language skills will subject your application form to immediate rejection.
• Please do not refer to the local exchange officer asking for the difference between Italy and Spain . I haven’t been to all parts of the world. Please consider the database as much as you can. And as I mentioned before, I recommend all countries to you.

 

About the list of countries, it’s very remarkable to inform you that not all the countries present in the list of every box are actually available. Some of these countries are not yet available but it’s always expected to have such clerkships later. So you can choose countries that are actually available now and you can also choose countries that are not available but you find them among your desired countries that you wish to go.
